F.A.Q's about Service Commitments

What does the one-year commitment mean?

When you sign up for our 1 year commitment package, you are agreeing to a 12-month service contract at a reduced monthly rate instead of the standard month-to-month rate. This commitment ensures stability for both your business and our team.

What happens if I need to cancel before the one-year term is up?

Since you committed to a 12-month contract at a discounted rate, early cancellation requires a buyout fee equivalent the difference between the discounted rate and the standard rate for the months used, plus a cancelation fee equal to the month to month rate.

Can I pause my contract and resume later?

Our contracts do not allow for pauses or suspensions with the exception of a paid in full contract.. However, we can work with you to adjust your service plan to better fit your needs.

What if my business circumstances change and I can no longer afford the service?

We understand that unexpected situations arise. If you need to cancel due to financial hardship, please reach out to discuss possible solutions, such as scaling down services, restructuring payments, or transitioning to our month-to-month plan.

Is there a way to exit my contract without penalties?

Yes. If you find someone to take over your contract (another childcare owner, for example), you may be able to transfer the agreement with our approval.

What if I’m not happy with the service?

We strive to ensure our virtual assistants meet your needs. If you have concerns, we encourage you to communicate with your account manager so we can make necessary adjustments. In rare cases where we cannot resolve the issue, we will evaluate possible contract termination options.

What is the notice period for cancellation?

If you must cancel, we require 30 days' written notice for a month to month contract and a 90 day notice for annual commitments before termination, and any applicable cancellation fees must be settled before the contract officially ends.

Can I switch to a month-to-month plan if I signed up for a yearly commitment?

Yes, but you will need to pay the difference between the discounted annual rate and the month-to-month rate for the months used before switching.

Are there any additional costs besides the monthly service fee?

Yes, while our service packages cover the core support hours, there are additional costs for specific tools and software that may be required based on your business needs. These costs are not included in the base service fee and will be billed separately.

What are call center seat fees, and how do they work?

If your service includes call handling, customer support, or phone-based tasks, a call center seat fee may be required to maintain a dedicated phone system for your business.

Call center seat fees range from $35 to $50 per seat per month, depending on the system used. This includes 1 phone number that is required. Each additional phone number is $10 per line. We also import your numbers to our call center and bring you into our eco system for a more fluid system. If for whatever reason you decide to leave, we will allow you to export your phone numbers to any provider you choose.

This cost is charged directly by the software provider and will be added to your monthly invoice if applicable.

Are there extra costs for social media management?

Yes, if you require social media scheduling and management tools, additional fees may apply.

We use industry-standard tools which may cost $24.99 per month per brand/account. These tools allow us to track specific progress and engagement on all your social media platforms.

These costs are charged separately and must be covered by the client and will be billed out separately month to month on reoccurring payments.

Do I have to pay for project management tools or CRM access?

If we use our project management tools there is no extra cost for you.

However, if your business requires additional team seats in your own CRM, PMS, or other platforms, you will be responsible for those costs.

What about other third-party software costs?

Some services may require additional software, including:

Marketing tools (email automation, ad management).

Bookkeeping or payroll software (QuickBooks, Gusto, etc.) – varies by provider

Custom integrations or API access – quoted separately based on needs

How will these additional costs be billed?

If the software is part of our internal system, we will include the cost in your monthly invoice.

If you purchase your own software, you will pay directly to the provider, and we will use your login credentials.

Any additional costs will always be communicated upfront before being added to your bill.
